Making assessments available to a wide range of families is one of our top priorities, which is why we offer several payment options to help make the process manageable. Our hope is that one of the options below will meet your needs, and if you have concerns or unique circumstances, we are always happy to talk through a plan that works for your family.
Library Card Discount Policy
PLACE is proud to support literacy and community resources. Families may qualify for a library card discount on one service selected if they can provide proof that their child has visited a local public library in person and checked out at least one item within the past calendar year. Acceptable proof must be submitted prior to or at the time of booking to receive the discounted rate.
As an education-based organization, we believe in strengthening literacy and encouraging meaningful engagement with community resources—especially our public libraries.
Private Pay
Families may choose to pay the full cost of services upfront. This option allows for the fastest scheduling and report turnaround.
Payment Plans
We offer structured payment plans that divide the total evaluation cost into manageable payments throughout the evaluation process. All fees must be paid in full before the final report is released. Payment plans are designed to be completed within a two-month timeframe.

PLACE Scholarships
On a limited, periodic basis, PLACE offers scholarships to families with a demonstrated financial need. Scholarship availability is not guaranteed and is awarded based on funding and eligibility at the time of application.
In some cases HSA/FSA/HRA accounts may be used to reimburse for services using the invoice we create. However, ultimately it is up to the paying party to seek reimbursement from their insurance provider after services have been paid for.

At PLACE, we believe every child deserves access to high-quality, compassionate evaluations. The PLACE Scholarship is awarded on a periodic basis to families with a demonstrated financial need who are seeking evaluation services. Scholarships are limited, not guaranteed, and subject to availability. Our hope is to reduce financial barriers when possible and help more families take an important step toward understanding and supporting their child.
ADHD Evaluation

Pricing can vary based on your child’s unique needs, your goals for the evaluation, and the assessment tools that are most appropriate. We take time to help you understand your options so you can make an informed decision that feels right for your family. We also offer FDA-approved ADHD testing that uses a computer-based tool to track eye movements and provide detailed, objective information about attention, impulsivity, and movement—adding another layer of clarity to the evaluation process.
Autism Evaluation

Currently no waitlist for Autism Evaluations! The cost of an autism evaluation at PLACE varies based on your child’s individual needs and the assessment tools used. We offer comprehensive evaluations using a range of evidence-based measures, including the ADOS-2, the gold-standard autism assessment used in both medical and educational settings. When appropriate, pricing may also reflect the inclusion of speech and language testing, allowing for a more complete understanding of your child’s profile. We are happy to talk with you about options and help determine the evaluation package that best fits your child and your family.
Cognitive Evaluation

If you are ready to learn how your child thinks and processes information about the world around them this evaluation is right for you. The testing includes the use of a nationally normed assessment tool and a comprehensive report.
Dyslexia Screening

Wondering whether your concerns about your child’s reading are valid, but not quite ready to commit to a full psychoeducational evaluation? A Dyslexia Screening can be a helpful first step. This screening provides preliminary insight into your child’s reading skills and helps determine whether further evaluation may be needed. If you choose to move forward with a full educational or psychoeducational evaluation, the cost of the dyslexia screening will be applied toward the price of that service.
Educational Evaluation

Our Educational Evaluations use nationally normed assessment tools to provide a clear, in-depth understanding of your child’s academic skills and learning behaviors. If you are looking to better understand how your child is performing in reading, writing, and math, this evaluation is an excellent fit. At PLACE, we go beyond a standard set of subtests—when we see areas that need closer attention, we dig deeper to fully understand your child’s learning profile. This individualized approach is a key benefit of having evaluations completed by highly trained professionals who focus on meaningful, accurate results.
Executive Functioning Evaluation

Executive Functioning refers to the set of skills that act as the brain’s “management system,” helping your child plan, focus, stay organized, remember information, and manage their actions and emotions. Understanding how your child’s executive functioning skills work can be key to identifying effective supports and accommodations that set them up for success. If you have concerns about organization, attention, follow-through, or emotional regulation, this evaluation can provide valuable clarity and direction.
Psychoeducational Evaluation

This is our most comprehensive evaluation and is ideal if you have concerns about your child’s academics, processing skills, or memory. By combining cognitive and educational assessments, this evaluation provides a complete picture of not only how your child is performing academically, but why. It helps identify the underlying factors that may be impacting learning and guides meaningful next steps. If you have concerns about Dyslexia, this evaluation offers the most accurate and thorough data to support identification and planning.
Speech and Language Evaluation

Communication is the foundation for learning, relationships, and daily life. Skills such as articulation, fluency (including stuttering), social communication, and receptive and expressive language all play a critical role in how children engage at school and beyond. Communication differences are also a core component of Autism and part of the diagnostic criteria in both medical and educational settings. If you are concerned that your child’s speech or language skills may be impacting their learning or participation, a Speech and Language Evaluation may be the right next step.
Testing Results or IEP Review

Sometimes, during an IEP meeting or after receiving evaluation results, everything can seem clear in the moment—only to leave you with questions or lingering concerns later. As special education parents ourselves, we understand that feeling. PLACE offers parent consultation services to serve as an unbiased, knowledgeable sounding board, helping you process information, clarify next steps, and feel confident and prepared to advocate for your child’s needs.
To schedule your child’s initial consultation with PLACE, a $100 appointment fee is required for any of the services offered. Once the fee is received, we’ll send you our client intake forms to complete before your appointment.
Completing these forms ahead of time helps our practitioner better understand your child’s needs and ensures we can make the most of your consultation. To allow enough time for review, we ask that forms be submitted at least 48 hours before your appointment. If they are not received in time, we may need to reschedule your consultation to make sure we have all the information needed to provide the best guidance and support for your child.
The $100 consultation fee will be applied toward the total cost of the evaluation, so it will be credited against your final balance. You must inform PLACE of how you intend to pay for services at the time of the initial consultation appointment so that you are billed accordingly. To help offset the cost of payment processing, a 3.5% surcharge will be applied to all payments made using credit cards and third-party payment platforms (Visa, Mastercard, Discover, American Express, Apple Pay, PayPal, or Venmo). This fee reflects the costs charged by payment processors and will be clearly displayed at the time of payment.

To make evaluation services more accessible for families, PLACE offers the option to divide the total evaluation fee into four scheduled payments throughout the evaluation process.
Payment 1 – Intake Fee: Due at the time of scheduling and required to reserve evaluation services.
Payment 2 – Testing Phase: Due prior to or at the start of the first testing session.
Payment 3 – Completion of Testing: Due upon completion of all testing sessions and rating scales.
Payment 4 – Report Preparation: Due prior to the release of the written evaluation report.
All evaluation fees must be paid in full before the final report is provided to parents or caregivers.
The full payment schedule—from initial intake through final payment—must be completed within two (2) months. Delays in payment may result in paused services or delays in report completion.
Our goal is to partner with families while ensuring timely, high-quality evaluations. If you have questions about payment options or need to discuss your schedule, please contact us prior to beginning the evaluation process.
At PLACE, our primary focus is on educational impact, rather than medical diagnosis, although some assessments—such as the ADOS-2 for example—may be shared with medical providers if they choose to use the information. Our evaluations are conducted in person and tailored specifically for your child, rather than being determined by an insurance company employee who does not understand your child. This approach allows us to adapt assessments in real time if new questions or concerns arise during testing—something insurance restrictions typically do not allow.
While we do not bill insurance directly, some services may be eligible for reimbursement. We can provide a detailed invoice of services for you to submit to your insurance provider, FSA, HSA, or HRA account.
It is important to note that payment through Health Savings Accounts (HSA), Flexible Spending Accounts (FSA), and Health Reimbursement Arrangements (HRA) may require a Letter of Medical Necessity from a licensed medical provider (such as a physician). This letter must state that the evaluation is medically necessary for your child. Acquiring a Letter of Medical Necessity is the sole responsibility of the paying party, not PLACE.
Please note that eligibility for HSA/FSA/HRA reimbursement is determined by your plan administrator, not PLACE. While we are happy to provide documentation related to the services rendered, PLACE cannot guarantee coverage or reimbursement under your specific plan. We encourage families to verify eligibility with their plan administrator prior to submitting payment using HSA/FSA/HRA funds.
At PLACE, the written report is where all assessment data is carefully reviewed, analyzed, and translated into meaningful, actionable recommendations. This phase of the evaluation process requires focused, uninterrupted time to identify patterns, integrate multiple data sources, and ensure accuracy. Because of this, report writing is the most time-intensive portion of an evaluation, and we appreciate families’ understanding of the care this work requires.
Reports are initiated only after all of the following have been completed, whichever occurs last:
Final payment has been received in full
All evaluation sessions are complete
All required rating scales (parent, teacher, or other informants) have been submitted
Under standard timelines, reports are completed within 15 business days once all requirements above are met. Completed reports are delivered as a PDF via the email address you provide following the meeting where we review results with you and review actionable next steps.
Families may request expedited report writing when time-sensitive needs arise. Expedited requests are subject to clinician availability and must be approved by PLACE in advance. Expedited report fees are the responsibility of the family and apply equally across all evaluation types.
The first business day of the expedited timeline begins on the next business day after all requirements are met, including final payment, completed evaluations, and submitted rating scales.
If rating scales are submitted after the evaluations have been completed, it is the family’s responsibility to notify PLACE once all forms are complete. The expedited timeline will not begin until receipt is confirmed.
Expedited Report Options
3–5 business days: $300
6–8 business days: $225
9–11 business days: $150
12–14 business days: $75
Expedited report fees are due at the time the evaluation plan is determined once PLACE confirms availability to meet the requested timeline.
Our goal is to provide reports that are thoughtful, accurate, and truly useful—while offering flexibility when families need faster turnaround times.
PLACE proudly serves families and school divisions throughout the region. Travel outside of Hampton, Poquoson, Newport News, Yorktown, and Williamsburg, Virginia is available and subject to the following fees:
Hourly Travel Rate: $150 per hour
Mileage Rate: $0.70 per mile
Mileage & Time Calculation:
All mileage and hourly travel time are calculated round trip from Hampton, Virginia.
Overnight Travel:
Any travel exceeding 1.5 hours one way is considered overnight travel.
Overnight travel includes an additional $250 per person, plus hotel accommodations, which must be paid in full prior to travel.
Travel fees are billed separately from service fees. PLACE will review travel expectations and provide cost estimates in advance to ensure transparency and clarity before services are scheduled.
At PLACE, we understand that schedules can change and unexpected situations arise. To ensure fairness for both families and staff, the following policy applies to all appointments:
If you need to cancel or reschedule an appointment, please provide at least 48 hours’ notice.
Cancellations made less than 48 hours before the appointment may be subject to a fee up to the full price of the evaluation.
Clients who do not show up for a scheduled appointment or arrive 15 minutes or later will be considered a “no-show” and are responsible for the full cost of the evaluation.
On rare occasions, PLACE may need to cancel or reschedule an appointment.
We will make a reasonable effort to replace staff or otherwise accommodate your scheduled appointment.
If a replacement is not available, your appointment will be rescheduled on a priority basis at the next available date and time.
